Roxbury High School "GAELS" Band Patron Association Bylaws
ARTICLE I - NAME
SECTION I
The organization shall be known as the Roxbury High School
"Gaels" Band Patron Association.
SECTION 2
The term band is defined as all student organizations
participating at the high school in music programs under the
direction of the Band Director ,Associate Band Director and
Assistant Band Director.
SECTION 3
The term patron is defined as anyone who is interested in
supporting the Roxbury High School Band Program under the
guidelines of the school administration.
ARTICLE II - OBJECT SECTION 1
The object of the Association is to support the band program as
sponsored by the Roxbury Township Board of Education by
rendering appropriate support to the Roxbury High School Band
Program. This support shall be executed as directed by the
Roxbury High School Instrumental Department and shall not be in
conflict with the policies of the Music Department, Roxbury High
School or the Roxbury Township Board of Education.
ARTICLE III - MEMBERS SECTION I
Full membership is granted to parents and or guardians of
present Roxbury High School Band Students, the Roxbury High
School Band Director and Associate Band Director, Assistant Band
Director the Lead Teacher of the Roxbury High School Fine Arts
Department, and designated student representatives.
SECTION 2
Associate membership is restricted to the parents and or
guardians of. past Roxbury High School Band Students, or
supporters of the Band Program.
SECTION 3
Full members may attend General Meetings, may vote on business
before the membership, and may hold the elective position of
President and Secretary of Finance. Associate members may attend
General Meetings, shall not vote, shall not hold elective
office, but may serve in any Cabinet Position or committee.
ARTICLE IV - MEETINGS
SECTION I
General Meetings shall be held at least twice each school year,
or as deemed necessary by the Board of Directors of the
Association.
SECTION 2
The number of full members equal to 10% of the number of Band
Students involved in the program, shall constitute a quorum for
the transaction of business in any general meeting of the
Association.
ARTICLE V - ELECTED OFFICIALS
SECTION 1
The elected Officers of the Association shall be: 1. President
2. Secretary of Finance
SECTION 2
A Nominating Committee consisting of the Lead Teacher of Fine
Arts, the Band Director, & Associate Band Director shall submit
two candidates for each position to the general membership for a
vote. These candidates will be selected from applications
received from the General Membership by a date designated by the
Nominating Committee. selection of officers may take place at a
General Meeting or through the mail by the designated date
stated by Nominating Committee.
SECTION 3
Officers shall serve for a term of one year July 1 through June
the 30th. Persons may serve as many terms as they are duly
elected for.
SECTION 4
The newly elected officers ( officers elect) shall be invited to
all Board of Directors Meetings. The officers elect shall be
responsible for planning activities for the upcoming year while
the current officers shall be responsible for completing plans
for the present year. Current officers shall be responsible for
the signing of all documents and checks until the officers elect
assume full responsibility on July 1st.
SECTION 5
In the event of an office vacancy (except President) during the
year, the Board of Directors shall appoint a member to fill that
vacancy. In the event the office of President is vacated, the
Secretary of Finance shall succeed to that office and a new
Secretary of Finance will be appointed by the Board of Directors
to fill that position for the remainder of the term.
ARTICLE VI - DUTIES OF OFFICERS
SECTION 1
The President shall preside at all General Meetings of the
Association and serve as a standing member on the Board of
Directors of the Association; shall perform such other duties as
may be prescribed in these By-Laws or by the Directors, and
shall coordinate the work of the Secretaries and committees of
the Association in order that the objects may be promoted. He or
she shall also serve as the principal and responsible point of
contact between the Association and the Administration of the
School.
SECTION 2
The
Secretary of finance will balance books and disperse funds in
accordance of instructions of the Board of Directors, shall have
possession of a copy of the Certificate of Incorporation, shall
update the Certificate of Incorporation by filing the annual
report as required by the Secretary of the State of New Jersey,
will submit to an audit by the Roxbury High School secretary for
student fund extra-curricular accounts, shall stand in place of
the President of the Association in the event of his or her
illness, absence or inability of that officer to serve.
ARTICLE VII - CABINET SECRETARIES
SECTION 1
The appointed Cabinet Secretaries of the Association will be:
Secretary of Correspondence, Secretary of Membership, Secretary
of Publicity, Secretary of Association Fund-Raisers, Secretary
of Student Fund-Raisers, Secretary of Hospitality, Secretary of
Logistics, Secretary of Uniforms
SECTION 2
A survey will be sent to all membership including incoming 8th
grade parents during the spring each year. This survey will
include descriptions of each committee and will ask for interest
in serving as a officer (elective), cabinet secretary
(appointed) or as a member of each committee. After a selection
of Secretaries is made by the Board of Directors, each Secretary
will be given a list of members who expressed interest in
serving on their committee. Doubling should be avoided in order
to involve as many members as possible.
SECTION 3
The newly appointed Cabinet will begin working with the present
Cabinet as soon as selections are completed. The new Cabinet
will be responsible for planning activities for the upcoming
school year while the current Cabinet shall be responsible for
completing plans for the present year.
SECTION 4
Secretaries shall be appointed for a term of one year July 1st
through June the 30th.
SECTION 5
In the event of a Cabinet vacancy, a new secretary will be
appointed by the Board of Directors.
SECTION 6
All Cabinet members will deliver to their successors all
official materials no later than July 1 st.
ARTICLE VIII - DUTIES OF CABINET
SECTION 1
SECRETARY OF CORRESPONDENCE
a. to keep accurate records of Association meetings.
b. to conduct the general correspondence of the organization as
designated by the Board of Directors including all general
mailings to membership etc.
SECTION 2
SECRETARY
OF MEMBERSHIP
a. to encourage participation of members to assist in band
activities with special emphasis on incoming eighth grade
parents.
b. to keep accurate records of membership including labels for
all mailings.
c. to devise and implement a system to notify band membership of
various activities and emergencies.
SECTION 3
SECRETARY OF PUBLICITY
a. to work with school-wide/town-wide/ state-wide media sources
to encourage public support
of concerts, competitions and fund-raisers and to emphasize
Instrumental Music Department accomplishments.
b. to organize and publish a newsletter informing the membership
of the various activities of the Instrumental Music Department
or Patron Association.
SECTION 4
SECRETARY OF ASSOCIATION FUND RAISERS
a. to organize the various fund-raisers that are run by the
membership in accordance with Board of Directors guidelines with
special emphasis on the Souvenir Ad Journal.
SECTION 5
SECRETARY OF STUDENT FUND RAISERS
a. to act as custodian of all student fund-raisers in collecting
orders and funds.
b. to keep accurate records of all individual student accounts.
SECTION 6
SECRETARY OF HOSPITALITY
a. to be responsible for organizing and hosting all football
half-time refreshments at home football games for band and
visiting band.
b. to provide refreshments at various functions as designated by
Board of Directors.
SECTION 7
SECRETARY OF UNIFORMS
a. to organize and execute all of the business dealing with the
distribution and or maintenance of the uniforms for Concert,
Marching/Color Guard, and Jazz Bands.
SECTION 8
SECRETARY OF LOGISTICS
a. to assistant directors and student Logistic Officer in
loading and off-loading of equipment at various band functions.
b. to maintain and or construct equipment as deemed necessary.
ARTICLE IX - BOARD OF DIRECTORS
SECTION 1
The Board of Directors shall be composed of the Director of Fine
Arts, the Band Director, and the Associate Band Director, who
are appointed by the Roxbury Township Superintendent of Schools
and the Board of Education.
SECTION 2
The elective Association officers of President and the Secretary
of Finance will also be full voting members on the Board of
Directors.
The Secretary of Correspondence will also be a standing member
or this committee with no voting privileges.
SECTION 3
The Board of Directors shall have complete responsibility for
the affairs of the Association and expenditures of the
Association.
SECTION 4
The Board of Directors shall meet one week prior to all
Association General Meetings and any other time deemed
necessary.
ARTICLE X - DISSOLUTION CLAUSE
SECTION 1
Upon dissolution of the corporation, the Board of Directors
shall, after payment of all liabilities, dispose of all assets
of the Corporation conclusively for the purpose and in such a
manner or such an organization or organizations organized and
operated exclusively for charitable, educational, religious, or
scientific purposes as shall at the time qualify for exemption
under Section 501 (c) (3) of the Internal Revenue Code of 1954.
